Show Information, Rules and Regulations
Exhibitors are cautioned to observe the rules and regulations provided herein. Please make sure that all exhibit personnel are familiar with the regulations. These personnel shall consist of exhibit workers, principals, salespeople, models, etc. If for any reason an exhibitor violates any of the rules or any show policy listed in the exhibitor’s manual and bulletins, it is understood that the violation will be corrected immediately.
The NABC shall have full authority in interpreting and enforcing all the rules and regulations set forth herein. The NABC reserves the right to dismiss any exhibit that does not conform to the general character of the show. All matters and questions not covered by these rules and regulations are subject to the decision of NABC Show Management.
Cancellation Policy
The NABC must receive written notice of cancellation or reduction of space. No refunds will be given after January.
Hotel Accommodations
The NABC will hold a limited number of rooms in the NABC Housing Block. Quantities of hotel rooms are based on total booth size and hotel forms will be sent electronically. Rooms are only for NABC Exhibitors and reservations will be canceled if payment is not received for booth. All rooms require a four-night minimum.
Final Four Game Tickets
NABC Exhibitors can purchase Final Four Game Tickets. Men’s Final Four tickets may be used only for the personal or professional interests of those receiving tickets. They may not be used in any commercial, promotional, or fundraising activities (for example: auctions, drawings, halftime shooting contests, sweepstakes, etc.). The official NCAA ticket market is the only approved way to resell tickets. PLEASE NOTE: Tickets may not be sold above face value. Men’s Final Four tickets sold to an unofficial ticket broker will be tracked digitally to the original purchasing NABC exhibitor, who will have ticket privileges suspended.
Carpet and Booth Amenities
Standard carpet, backdrop, 3’ sidewall, and company identification sign will be provided for each booth. Any booth furnishing, carpet padding, accessories, signs, electric outlets, internet, phone, etc. are the responsibility of the exhibiting company and may be ordered in advance through the show decorator and building. An “Exhibitor Service Kit” from the official show decorator will be available electronically approximately 6-8 weeks before the show; included in this will be ordering instructions and forms.
*Please note that carpeting or approved flooring system (wood, synthetic flooring, etc.) is mandatory for this show. Carpet is included in the booth cost, with the only exception being island booths 400 sqft or larger. Please notify show management if you plan to use another flooring other than the carpet that is included.

Construction of Exhibit
In-Line booths shall not exceed 8’ in height in the back of the booth. The side rails shall be 3’ high. An exhibitor may provide 8’ high side rails extending only 5’ from the back of the booth. In the event an in-line booth wishes to have side walls higher than 3’ it must be approved by Show Management in advance.
End caps shall be set with 8’ high drape in the center 10’ feet of the back wall, the drape shall drop to 3’ on either end from that point to the aisle. Drape higher than 8’ shall not be permitted without permission from Show Management.
Island booths may not exceed 12’ in height without written approval from show management.
Any booth utilizing a pop up or created display may be required by Show Management to provide suitable drape or dressing for the back of the booth should it be clearly visible to attendees. This shall be the sole responsibility and cost of the exhibitor.
Exhibitors shall not be allowed to store booth empty containers within the confines of their booth, unless they are completely hidden from view of the attendees.
Exhibitors wishing to keep booth product, supplies or giveaways within the confines of their booth should make appropriate arrangements for those items to be covered completely from view of attendees. Boxes and miscellaneous supplies left in plain view will be required to be put into accessible storage with the show decorator at the sole cost of the exhibitor.
Any company erecting hard wall around their booth space will be placed in an area that is unobtrusive to neighboring exhibitors. The NABC will use its best efforts to ensure that small exhibitors’ line of sight from aisle-to-aisle is not obstructed by larger, hard wall booth areas.
Companies erecting hard wall booths should restrict the height of the hard wall construction to 8 feet unless otherwise approved by NABC MARKETPLACE Management.
Use of Space
No exhibitor shall sublet, assign or share any part of the space allotted without prior written consent of the NABC.
Aisle space shall NOT be used for exhibit purposes, display, signs, solicitation or distribution of promotion materials. Distribution or posting of any marketing materials in the convention center (outside of assigned booth) or host hotels is not allowed.
Shooting in booth is only allowed in booths 20’x20’ or larger.
No live animals will be permitted in the exhibit area.
No helium allowed inside the convention center, including the exhibit area.
Only facility personnel may access the utility hookups.
Installation and Dismantling of Exhibits
All move-in and move-out of exhibits must be done only through designated loading docks, freight doors, and freight elevators which are controlled by Freeman. The main lobbies, escalators and passenger elevators are not to be used for this purpose. Exhibitors should verify show security arrangements and times for move-in and move-out to avoid problems with unattended equipment and materials. Parking is only allowed in regularly designated parking facilities and is not permitted on public streets unless marked as parking area.
All move in must be complete by the close of move in hours Thursday. If more time is needed Wednesday night, contact show management for approval. All booths must be set by 12 pm Thursday.
Instructions concerning freight shipments will be sent in the Exhibitor Services Kit and exhibitors must adhere to the procedures set forth. Exhibitors are responsible for coordination and payment of all their freight to and from show site and all material handling within the facility.
Exhibitor Badges
All exhibitors company representative must be registered and will be required to pick up their own exhibitor credentials during move in and show hours. Non-registered exhibitor representatives will no be allowed admission. Duplicate/ replacement badges will cost $75.00 each. Badges are non-transferrable. Exhibitor Appointed Contractors (EAC) will be able to pick up temporary badges for install and dismantle purposes only.
Admission Eligibility
Attendance at the NABC MARKETPLACE is limited to exhibitors, dealers, manufacturers, manufacturer’s representatives, wholesalers, industry guests, and NABC Members.
Exhibitor admission will be by badge only. No one under 18 will be admitted without an accompanying adult. Exhibitor badges will permit the bearer to enter the exhibit hall during installation and one hour prior to the official show opening each day. All exhibitor personnel must always wear their badges.
Exhibitor Directory and Ad
The NABC will produce the NABC Exhibitor Directory for coaches attending the NABC Convention. The NABC Exhibitor Directory will be used to encourage traffic on the MARKETPLACE floor and serves as an advertising tool for your company during the NABC Convention. The NABC highly encourages utilizing premium/gift-giving opportunities to increase traffic to your booth. The NABC will not distribute any individual company announcements that are not a part of the directory.
Attendee List
Per the NABC Board of Directors, NABC Convention Attendee list or any NABC member list cannot be shared.
Merchandise Sales
Exhibitors are permitted to sell their own merchandise to NABC Members and participants of the NABC MARKETPLACE. Officially licensed NCAA or NABC merchandise may only be sold if you have an official license relationship with the NCAA or NABC. Any exhibitor displaying or selling unlicensed NCAA or NABC merchandise will be removed from the show floor. Other merchandise may be sold at the discretion of the exhibiting company if there are no licensing violations of the NCAA or NABC registered marks. It is the responsibility of the exhibitor to obtain the required permits and licenses and to properly collect and remit any sales tax. If any merchandising fees associated with the convention center, if applicable, is the responsibility of the exhibitor.
Samples and Giveaways
Exhibitors may distribute samples directly related to their products or advertising specialties, does not include food and beverage. Those wishing to sample food or beverage mush have NABC approval and comply with building and local rules regarding sampling.
Serving alcoholic beverages in the exhibit booth will be permitted only with the express written permission of the NABC MARKETPLACE Management.
Final Four tickets cannot be used as a giveaway.
No cigarettes, cigars, or tobacco of any kind will be dispensed by the exhibitor.
Signs
Signs hung from the exhibit hall ceiling must be approved by the exhibit hall and NABC MARKETPLACE Management.
Additional hanging sign information and regulations are contained in the Exhibitor Service Kit.
Signs may be hung and placed in strategic areas if the sign(s) do not infringe upon the visibility and accessibility of neighboring booths.
No hand-written or unprofessional signs shall be displayed within an exhibitor’s booth space or in common areas of the show.
NABC Logos
NABC official logos are registered trademarks of the National Association of Basketball Coaches. Any use of the NABC marks is prohibited without the expressed written consent of the National Association of Basketball Coaches and all applicable fees for their use. Non-Profits
Organizations may apply for special exhibit booth rate if they meet the following criteria: they are a non-profit organization as defined by maintaining a 501©-tax status; are national in scope; and their mission would appeal to the NABC membership. Exhibitor registration should be accompanied with documentation that demonstrates compliance with the criteria. NABC has the right to limit and deny request even when criteria are met.
Security
The NABC provides security within the exhibit hall, including overnight security. However, the NABC advises exhibitors to exercise good judgment in setting up displays and leaving them unattended. The NABC is not responsible for the loss or damage of materials. It is strongly encouraged that personal items such as laptop computers and small electronics, if not a fixed part of your booth construction, be removed from show site when the show is not open.
Fire and Safety Regulations
It is understood that all exhibitors shall conform to the fire laws, health code, electrical code, and all other applicable local and state ordinances
Exhibitors should use flame resistant decorative material. (Carpets, draperies, curtains, scenery, and other materials used for artistic enhancement of the booth space). Display samples are an exception to the above rules.
Fire Marshal regulations may prohibit exhibitors from storing cartons, boxes, crates, or any packing materials beneath tables or furniture in their booth or behind the upright backdrop at the rear of their booth. Please check with Freeman (See section titled Carpet and Booth Amenities) prior to or upon your arrival to clarify the Fire Marshal’s regulations.
Responsibility for Property
In no case will the NABC be responsible for theft, loss, or damage to exhibitor’s product or booth space. All exhibitors agree to accept responsibility for protecting their property and to take every precaution to protect and insure their own exhibit materials.
Exhibitors also agree to accept responsibility properly address, package, and ship their exhibit materials to and from the show and that the loss or resulting damage shall be their own.
The NABC will provide every precaution for protection of the articles displayed or used in the show.
Uniformed security guards will be on duty 24 hours once MARKETPLACE has officially begun and will remain so until the removal period is over. These guards are hired for general floor supervision, checking credentials, and maintaining order, but not for specific booth coverage. In the event an exhibitor requires additional security please contact Show Management. This service can be arranged however it is solely at the cost of the exhibitor and must conform to all show and local facility rules and regulations. Show Management must be notified of any security personnel who are independently contracted by an exhibitor.
Liability and Insurance
The exhibitor and its authorized contractors agree to carry personal and property damage liability and workers compensation insurance and to identify and hold harmless the NABC, its contractors, officers, agents, and employees within the exhibit space contracted in the event of personal injuries or property damage sustained by any person.
